Email archiving platform helps businesses understand and gauge employees’ email styles and sentiments

Ninety percent of employees at small and medium-sized businesses consider email a blessing, according to a new survey by GFI Software™. But are all employees using email in the same ways, or are some more efficient and hardworking than others? The recent survey data (see today’s related announcement) reveals that workers are relying upon email as their primary form of communication during and outside of regular business hours, meaning there is much insight to be gained from it. As such, GFI Software today announced a new version of its email archiving solution, GFI MailArchiver, which now provides managers with the ability to better understand employee email habits and identify their email usage personality types.

Business intelligence and other valuable insights gleaned from email with GFI MailArchiver help managers evaluate job performance, boost productivity, and encourage efficient communications practices.

The latest version of GFI MailArchiver ranks workers according to who uses email the most often, who responds to emails the fastest, and who communicates with the greatest number of recipients. In addition, GFI MailArchiver now identifies top keywords that are frequently used and measures positive and negative email sentiment across the organization, providing managers with valuable insight into what is driving employee and customer email usage.

Accessible via any IMAP-enabled device, including Windows®, Apple OS X®, Linux, iOS and Android™ platforms, GFI MailArchiver 2013 enables companies to manage their email history all in one place, providing instant access at any time.  It offers control, choice and flexibility in managing an organization’s most important source of information – its email history – along with powerful business intelligence capabilities through MailInsights, MailArchiver's exclusive reporting module.

New features of GFI MailArchiver 2013 also include:

  • Automatic and manual archiving capabilities direct from Microsoft Outlook®. This add-on can be used to automatically import old .pst files into the archive.
  • Role-based functionality provides IT administrators with the flexibility and scalability needed to authorize individual users to access data, according to employee roles and business needs.
  • A redesigned, single-view dashboard which enhances the ability of IT administrators to monitor storage and performance, making email even easier to manage.
  • More powerful and intuitive searching capabilities, improving the user experience.
  • Easy, first-time importing of old emails with initial setup.

44% of SMB Employees Rank Email as their Primary Form of Communication

An independent, blind survey conducted by Opinion Matters on behalf of GFI shows that email is the most commonly-used form of business communication, with nearly half (44%) of respondents saying they use email most often, followed by the phone (28%), face-to-face interactions (22%) and instant messaging (6%). In addition, 81% of respondents said they check their work email on weekends, 58% have logged into their work email while on vacation and 55% of employees have checked email after 11 p.m. The survey polled 503 employees at small and medium-size businesses across the U.S.

“Email is an integral part of doing business today and a valuable means of communication,” said Phil Bousfield, general manager of IT operations at GFI Software.  “At the same time, email usage can tell a manager a lot about employees in the company, how they work, and their attitudes toward customers. Email is a powerful source of information and, when equipped with the proper tools, small to mid-sized businesses can gain tremendous insight into employee email usage and use the findings to improve in critical areas. GFI MailArchiver’s business intelligence capabilities enable organizations to do this with ease.”
